This policy covers everything we do with your personal information at our Vancouver facility and through our online platforms. If something doesn't make sense, just shoot us a message - we're happy to explain it in plain English over a protein shake.

When you sign up or train with us, we'll grab some basics like your name, email, phone number, and address. We also need your emergency contact info - because safety first, y'know?

For our training programs, we might collect health-related stuff like fitness assessments, injury history, and nutrition goals. This helps us customize your programming and keep you from getting hurt. If you're doing performance testing, we'll track metrics like strength numbers, body comp, and movement patterns.

Payment info goes through our secure processors - we don't store your full credit card details on our end. And yeah, we've got cameras in common areas for security, but not in the changerooms 'cause we're not weirdos.

Pretty straightforward - we use your info to run the gym and deliver the services you're paying for. That means scheduling your sessions, sending class reminders, processing payments, and tracking your progress.

Your health and fitness data helps our coaches design better programs for you. We're not out here selling your PRs to advertisers or anything sketchy like that. Everything stays in-house unless you specifically tell us otherwise.

We'll send you important updates about schedule changes, facility closures, or new programs that might interest you. Don't worry - we're not gonna spam you with daily emails. You can opt out of marketing stuff anytime while still getting the essential operational messages.

We take security seriously here. Our digital systems are encrypted and password-protected. Physical files are locked up tight when not in use. Only staff who actually need access to your info can see it - the front desk doesn't need to know your one-rep max, right?

We use industry-standard security measures and regularly update our systems. Our payment processing is PCI compliant, which is the gold standard for handling credit card info. And our team goes through privacy training so everyone knows the drill.

That said, no system's perfect. If there's ever a breach, we'll let you know ASAP and tell you exactly what happened and what we're doing about it. Transparency matters to us.

We're not in the business of selling your data. Period. But there are a few situations where we might share limited info with trusted partners.

Payment processors need your billing info to charge your card. Email service providers help us send you communications. If you hire one of our nutrition coaches, we'll share relevant info between your trainer and nutritionist so they can coordinate your program.

Sometimes we're legally required to share info - like if there's a court order or health emergency. And if you give us explicit permission to share your transformation story or testimonial, we might use that for marketing. But that's always opt-in, never automatic.

We don't work with data brokers, we don't sell lists, and we definitely don't share your personal training data with third-party advertisers. Your gains are your business.

Our website uses cookies - the digital kind, not the post-workout cheat meal kind. These little files help us remember your preferences and keep you logged into your member portal.

We use analytics tools to see how people use our site - what pages get viewed, where folks click, that kind of thing. It's all anonymized though. We're looking at trends, not stalking individuals.

Under Canadian privacy law (PIPEDA for those keeping score), you've got rights when it comes to your personal info. You can ask to see what data we have on you, request corrections if something's wrong, or ask us to delete stuff we don't legally need to keep.

Wanna know what we've got on file? Just send us a written request. We'll get you a copy within 30 days, usually faster. If you spot an error in your profile or health history, let us know and we'll fix it.

You can opt out of marketing emails anytime by clicking unsubscribe or telling us directly. You'll still get essential stuff like payment confirmations and class cancellations though - we need to be able to communicate about the basics.

If you're closing your membership, we'll keep some records for legal and accounting purposes (Canadian law requires it), but we'll delete what we don't need to retain.

We're not hoarders. We keep your info as long as you're a member plus whatever's legally required after that. Active member data stays current and accessible. Once you leave, we'll retain basic records for about 7 years for tax and legal purposes - that's the standard in Canada.

Health and fitness assessment data gets kept while you're training with us and for a reasonable period after in case you come back or need historical reference. Marketing data gets cleaned out regularly if you're not engaging.

Security footage gets overwritten after 30 days unless there's an incident we need to review. Session notes from personal training get archived but not deleted - your coach might need to reference old programs if you return after a break.

If you're under 19 in BC, we need parental consent before collecting your info or letting you train here. Parents or guardians can access and manage their kid's data anytime.

Our youth athletic programs require parent contact info and medical history provided by the parent. We take extra care with info from younger members and never use it for marketing without explicit parental approval.

We might update this policy from time to time as our services evolve or laws change. When we make significant changes, we'll let you know via email or a notice at the gym. The "last updated" date at the bottom will always reflect when we made the most recent changes.

Minor tweaks like clarifying language or fixing typos don't necessarily trigger notifications, but material changes to how we collect or use data definitely will. We're not gonna pull a fast one on you.
